WORKS FOR

Teams wanting one tool for tasks, docs, and reporting. Generous free tier covers most small team needs.

KEY INSIGHT

Packs more into the free tier than almost any competitor. The challenge is not drowning in configuration.

DOESN'T WORK FOR

Teams overwhelmed by features. ClickUp's breadth is also its biggest complaint — too many options.

FAILED

we’ve tried a bunch of tools like Notion, ClickUp, even Trello for a while, but nothing really fits how an agency actually works day to day

Reddit • Ops Manager • Use case: Manage agency workflow, tasks, files, client updates

FAILED

They've tried Asana. ClickUp. Notion. Every time it's the same story - founder sets it up, team uses it for a week, everyone quietly goes back to WhatsApp.

Reddit • Designer • Use case: Team productivity and collaboration

FAILED

It is much simpler than click-up and not as feature rich. Data entry is so much simpler and straightforward that it is a strong contender for people who don't need to make use of certain team oriented features such as reporting, time tracking, and checklists.

WORKED

ClickUp if you like structure

Reddit • Solo Founder • Use case: Project management for startup

FAILED

Clickup(not for freelancers/complex ui ux).

Reddit • Freelance • Use case: time tracking, billing, invoicing for freelance projects

MIXED

I was juggling ClickUp for tasks... Nothing talked to each other. Classic mess.

Reddit • Developer/Solo Founder • Use case: Task management for dev agency

MIXED

Or give clients limited ClickUp access (which often turns into a mess)

Reddit • Ops Manager • Use case: Sharing project updates with clients

FAILED

ClickUp → 3-5 days. The result? 73% of teams abandon their PM tool within 60 days. Because the tool exhausted them before the habit could even form.

Reddit • unknown • Use case: Setting up a project management tool for a startup team

FAILED

Monday.com was overkill, clickup was overwhelming, so I built something simpler.

Reddit • Solo Founder • Use case: Basic project management for a small Etsy shop team.

WORKED

ClickUp - they all work. The gap is between where work is discussed and where it's tracked.

Reddit • unknown • Use case: Bridge work discussion in Slack/email with task tracking in PM tools.

MIXED

hopping between Google Sheets, ClickUp, and Excel just to see what’s going on. Tasks in ClickUp.

Reddit • Solo Founder • Use case: track clients, tasks, finances across multiple tools

FAILED

Feels more like the workflow is on crutches

Reddit • Ops Manager • Use case: Automating cross-departmental project handoffs

FAILED

I have tried pretty much every 'famous' app: notion, trello, any.do, todoist, clickup, asana etc. There are only two apps that I actually like: ONE NOTE and GOOGLE TASKS.

Reddit • Business Owner • Use case: Basic free task lists accessible via link without registration

MIXED

powerful but takes effort to set up

Reddit • Ops Manager • Use case: project management

FAILED

I was duplicating information, switching tabs constantly, still unsure what actually needed attention.

Reddit • Freelancer • Use case: Manage tasks and client work across multiple tools

WORKED

You own client relationships and delivery coordination: weekly syncs, Slack, email, ClickUp boards, and scope management.

Hacker News • HackerNews • Use case: Project management and delivery coordination for client work

FAILED

they were all too complicated to use and were lacking the copy of board list... and also lacking of share a board with customer via secret link

Hacker News • HackerNews • Use case: Project management, evaluated as a Trello alternative.

WORKED

my only experience with PM tools is with Trello and ClickUp.

Hacker News • HackerNews • Use case: Project management

WORKED

I'd much use ClickUp as the UI is much more appealing.

Hacker News • HackerNews • Use case: tracking work for teams (implied)

MIXED

ClickUp is phenomenal for project management, but not nearly as flexible as Airtable for custom databases.
